Portchester Memorial Gardens is committed to ensuring your privacy is protected.  Should we ask you to provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this privacy statement.

Portchester Memorial Gardens may change this policy from time to time.  Please check with us from time to time to be sure you are happy with the changes.  This policy is effective from 21st May 2018.

What we collect

We may collect the following information:

  • Name and address
  • Contact details, including telephone numbers and email addresses
  • Other information relevant to an interment order being placed

What we do with the information we gather

We require this information to process your order, provide you with a better service and in particular for the following reasons:

  • Internal record keeping
  • Maintaining current and historical records of the location of ashes and relevant grave ownership for legal and reference purposes
  • Maintaining contact in the event that you need to be informed of something happening to/near your grave area
  • Inviting you to our annual Christmas service
  • Reminding you when the grave lease is due for renewal

All of this data will be kept throughout the period of the lease purchased.  This will then be archived once the lease lapses, unless you request for some elements to be removed, which we will endeavour to do within the dictates of the information we are required to keep by law.

We are committed to ensuring the your information is secure.  In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect.

Controlling your personal information

You may choose to restrict the collection or use of your personal date in the following ways:

  • If you do not want to receive an invite to our Christmas service or any other general contact, you may write to us or email enquiries@pmgardens.com at any time and we will update our records accordingly.

We will not sell, distribute or lease your personal information to third parties unless we are required by law to do so.

You may request details of personal information which we hold about you under the Date Protection Act 1998.  A small fee will be payable.  If you would like a copy of the information held on you, please write to Portchester Memorial Gardens, Upper Cornaway Lane, Portchester, Hampshire, PO16 8NF.

If you believe that any information we are holding on you is incorrect or incomplete, please write to us,  or email,  as soon as possible, at the above address.  We will promptly correct any information found to be incorrect.
